Recruitment for Patient Services Specialist (PSS) positions within the University of Washington Medical Center - Montlake is ongoing. This requisition serves as a candidate bank that is used to fill multiple departmental openings throughout the University of Washington Medical Center – Montlake.
Ambulatory Care Division of the University of Washington Medical Center is committed to providing quality care for our patients in approximately 30 different clinics with a broad range of medical and surgical specialty services, as well as primary care being offered. UWMC Clinics also serve as training sites for medical residents, medical students, nursing students and many other health care disciplines.

RESPONSIBILITIES: Demonstrates excellent customer service skills. Responds to patients’ needs and concerns as appropriate. Investigates complaints and works with office Lead, Supervisor or Manager to find solutions Accepts patient payments (e.g., co-pays, deposits). Coordinates and assists in scheduling ancillary appointments and consults Using clinic guidelines, gathers information on the telephone regarding the nature of the patient concern. Triages calls to appropriate staff; obtains necessary information for the return call; initiates emergency procedure when necessary, uses appropriate documentation tools. Reviews daily schedules to identify required medical records requests. Orders, coordinates, and distributes medical records as needed. Processes all copying request and follows UW guidelines in sending appropriate requests to UW Medicine Enterprise Records and Health Information. Scans all in house test results, ultrasounds, ECGs, etc. and attaches to appropriate order. Obtains necessary insurance plan information. Maintains ongoing documentation and tracks authorized referrals. Reviews the Epic Referral Queue daily for incoming orders and new patient referrals. Maintains the physical environment for safety of staff and patients and for aesthetic presentation of the area (e.g., organizing the waiting room furniture and magazine area). Reviews and works daily Televox reports. May be required to drive an automobile (or other vehicle) as a function of job in-between clinic sites. If so required, completes all driver clearance procedures and paperwork. Drives carefully and in accordance with the law and driving standards. Maintains a valid Washington Driver’s License and a clean driving record.
REQUIREMENTS: Patient Services Specialists are hired as either PSS 1-Trainee or PSS 2, depending on experience and qualifications. PATIENT SERVICES SPECIALISTS 1-TRAINEE REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR two years of general office experience OR equivalent education/experience. PATIENT SERVICES SPECIALISTS 2 REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR three years of general office or customer services experience OR equivalent education/experience.
ADDITIONAL DEPARTMENT REQUIREMENTS: Microsoft application skills in Word, Excel, and Outlook.
DESIRED: Work experience with electronic medical record (e.g., EPIC) preferred but not required. Excellent verbal and written communication skills.
